This tool is designed to act as a personalized workspace assistant, helping you turn trusted knowledge into immediate, practical action for your organisation.

Note: this is currently in a testing phase with employers to check that this work works ethically and practically. If so, we plan to embed a tool in this website.

How the Employer Hub Gemini Notebook AI Works

Unlike general AI chatbots that draw answers from the entire internet, Gemini Notebook uses a process called grounded reasoning. We have pre-loaded the assistant exclusively with trusted resources curated by the South Yorkshire and Bassetlaw Cancer Alliance, leading UK cancer charities, the NHS, and occupational health experts.

When you ask a question or request a plan, the AI is strictly restricted to search only within these verified documents. It will provide tailored answers alongside direct citations, allowing you to instantly click and verify exactly which NHS guide or approved source template the advice came from.

What You Can Use It For

The assistant is an efficient tool for translating organisation-wide knowledge into specific, bite-sized steps:

  • Tailored Action Plans: Generate step-by-step checklists based on your specific workplace makeup, business size, and job roles (e.g., “Create a return-to-work checklist for a line manager supporting a team member returning to a physical, shift-based role after cancer treatment”).
  • Meeting & Conversation Preparation: Ask for guidance on how to structure sensitive conversations with an employee, ensuring your approach is supportive, practical, and legally compliant.
  • Policy Guidance: Instantly cross-reference workplace policies against recommended standards for prevention, early diagnosis support, and ongoing workplace adjustments from leading cancer charities.

What You Cannot Use It For

Do not use the assistant for the following:

  • Replacing Human Empathy and Expertise: This tool is designed to assist with initial planning and basic steps. It must not replace professional human judgment, specialised HR advice, or occupational health expertise.
  • Sharing Personal Data: Do not upload or type any personally identifiable information (such as names, specific medical histories, or private staff details) into the chat. Keep your queries generalized to job types and scenarios (e.g., use “An employee has just told me they have cancer. What should I do in the next 24 hours?” rather than “Jane from accounting has just told me…”).
  • Medical Diagnoses: The tool provides administrative and supportive workplace guidance; it does not provide clinical or medical advice.

How to Access

To interact with the AI assistant and generate your custom action plans, please note the following technical requirements:

  • Google Account Required: Because the workspace is hosted via Google Labs, you must be logged into a personal or business Google account (Workspace account) to view and type questions into the assistant.
  • Privacy Assurance: When you open our public link, your conversations with the AI are completely private to you. Other employers or the Cancer Alliance network cannot see your questions, search history, or generated action plans.
  • Desktop & Mobile Friendly: The workspace runs entirely in your web browser and is fully accessible via desktop, tablet, or smartphone. No software downloads are required.
